How to Choose Rental Chairs: Why the Prettiest Ones Hold the Least Weight

Most people choosing rental chairs pick with their eyes. They see a wedding photo full of wooden crossback chairs, decide that is the look, and never ask what actually matters: what is that chair rated to hold, and what happens to it if it rains?

Here is the part that surprises almost everyone. Our second cheapest chair holds more weight than our most expensive one. The white resin chair is rated for 800 pounds; the ballroom chair costing more than twice as much is rated for 770. The two chairs guests call the prettiest, the fruitwood folding and the farmhouse crossback, are rated for 300.

Strength does not follow price. It follows material. Below is every chair we own, what each is rated to hold, how it behaves outdoors, and the one rule that quietly eliminates half your options before you pick a color.

How to Choose Rental Chairs: The Five Styles We Rent

We stock five main chair styles, plus kids sizing and two bar stool heights. All are commercial grade and all are cleaned and inspected before and after each use. The full range is on our chair rental page.

We do not list per chair rates here, because they change and a stale number on an old page helps nobody. Price is described in relative terms below. For real figures, request a quote.

White Poly Folding Chair: The Budget Workhorse

Our most cost effective chair. A plastic seat on a metal frame, 31.5 inches tall, rated to 650 pounds, weighing 7 pounds. Caps on the feet keep it from chewing up a lawn or a deck. The right answer for graduations, backyard parties, and anywhere guest count matters more than photographs. Full specs on the white poly chair page.

White Resin Chair: The One We Recommend Most

Our most popular chair, and the one we recommend more than any other. Padded seat included at no extra charge, durable resin frame, and the highest weight rating in our inventory at 800 pounds. That padding matters at a long event, so it is the chair we suggest when the guest list includes older relatives seated for hours. It sits just above the poly chair in price, which makes it the best value we rent. Details on the white resin chair page.

Fruitwood Folding Chair: The Autumn Chair

A natural wood frame with an ivory padded seat, in the mid range of what we rent. It photographs beautifully against fall color, and couples ask for it by name for autumn weddings. Rated to 300 pounds, and it carries one hard restriction we come back to below: it cannot get wet. Ever. See the fruitwood folding chair.

Farmhouse Crossback Chair: The Rustic Favorite

The rustic X back design that has dominated wedding photography for a decade, and one of our premium styles. Resin wood, 35 inches tall, rated to 300 pounds. It has by far the widest seat we rent at 20 inches across, which is more comfortable and changes how many fit around a table. No chair pad included. Browse the crossback chairs.

Chiavari Chair: The Ballroom Classic

The classic ballroom chair, in white, silver, gold, and mahogany, and the most expensive we rent. Durable resin, 36 inches tall, rated to 770 pounds, with a narrow 13 inch square seat. The cushion is an optional add on rather than part of the base price, the most common surprise on a Chiavari quote. Compare finishes on the Chiavari chair page.

We also stock kids resin chairs for ages two to seven, plus wooden and Chiavari bar stools. We do not stock black chairs, though we can often subrent them.

Strength Does Not Follow Price

Almost no rental company publishes weight ratings. That is a mistake: it is the one specification that turns a style question into a practical one. Here is the fleet, sorted by what it holds.

ChairWeight limitChair weightStacks
White Resin800 lbs10 lbs25
Chiavari770 lbs9 lbs5
White Poly Folding650 lbs7 lbs50
Fruitwood Folding300 lbs12 lbs25
Farmhouse Crossback300 lbs11 lbs5

Two things fall out of that table. The two least expensive chairs we rent are also two of the three strongest, and the two wood look styles that cost the most are rated for the least, because wood behaves differently under load than a molded resin shell.

None of this makes the crossback a bad chair. A 300 pound rating sits well above what a chair needs to hold for almost every guest. It does mean that if you want zero doubt, or the ground is soft, the resin chair is the honest recommendation even though it is not the one in the inspiration photos.

The stacking column matters more than it looks. Poly chairs stack 50 high, resin and fruitwood 25, crossbacks and Chiavaris 5. At 200 guests that is the difference between a few compact towers and a truck packed corner to corner.

The Weather Rule That Decides Half of This

None of our chairs are waterproof. Not one. Every chair we rent needs to stay dry, and you are responsible for protecting tables and chairs from rain to avoid water damage fees.

There are two levels to this rule, and the difference decides a lot. Poly and resin chairs are rated for indoor and outdoor use: they should not sit out in a storm, but an unexpected shower is not a catastrophe. The fruitwood and farmhouse crossback are different, and both must remain dry at all times. The Chiavari sits in between, and outdoors must be covered by a tent, pavilion, or other structure.

In practice, an uncovered outdoor ceremony in Maryland is a poly or resin event, unless you are ready to move chairs quickly. Our summers deliver afternoon thunderstorms with very little warning, so the National Weather Service Baltimore/Washington office is worth watching in the week before any uncovered event, and Maryland sees meaningful rainfall in every month of the year according to NOAA U.S. Climate Normals. If you want the wooden look outdoors, the answer is not a different chair. It is a tent over the chairs you already want.

Seat Width, and Why It Changes Your Table Count

Driftwood farmhouse crossback chair rental, a rustic seating style with a wide 20 inch seat

This never comes up until setup day. Our Chiavari has a 13 inch square seat. Our farmhouse crossback is 20 inches wide. That is seven inches per chair, and around a round table it compounds fast.

A table that comfortably seats eight Chiavari chairs may seat fewer crossbacks without guests bumping elbows all evening. Switch styles late and your table count moves with it. That is worth a conversation rather than a guess, which is what we work through when you request a quote.

How Many Chairs Do You Actually Need?

Start with your confirmed guest count, then add three things people forget.

  • A ceremony and a reception are two seatings. If both happen on the same property and nobody is moving chairs between them, you need chairs for both, not one set.
  • Vendors, kids, and late additions. Photographers, a band, and the plus one who confirmed last week all need a seat.
  • Accessible seating. For events open to the public, the ADA 2010 Standards for Accessible Design set requirements for assembly areas, including wheelchair spaces and companion seating. Even privately, leaving deliberate gaps is a kindness.

For a worked example on a real guest count, our graduation party rental checklist for 150 guests walks through the full list, and our Maryland outdoor event budget guide shows where chairs land against everything else.

What Is Included, and What Costs Extra

Tent installation is included in your rental. Table and chair setup is not, unless arranged in advance. We can set up your chairs, including a full ceremony layout, for an additional fee. Better to know now than on delivery day. More detail in our guide on whether tent rentals include setup.

Chairs need to be restacked the way they were delivered. If they are not, additional fees apply. It takes a few minutes at the end of the night and it saves you money, so give someone that job before the event rather than discovering it in the morning.

Chiavari cushions cost extra. The chair does not come with one, and crossback chairs do not include a pad either. The resin and fruitwood chairs have padding built in at no additional charge, which is part of why the resin chair is such good value.

A lost chair is billed at replacement cost. Counting them back into their stacks handles that before it becomes an invoice.

Frequently Asked Questions

Should I rent Chiavari or crossback chairs?

Choose Chiavari for a formal or classic look, crossback for rustic or farmhouse. Practically, the Chiavari is rated far higher at 770 pounds versus 300, and its narrower 13 inch seat means more fit around a table. The crossback is wider and more comfortable but takes more space per guest. They sit at a similar point in our range, so this is a style decision, not a budget one. Both must stay dry and both need a cushion added separately.

How much does it cost to rent chairs for a wedding?

It depends on four things, and style is only one. The premium styles run several times the entry level chair for the same number of seats, so switching from poly to Chiavari across 150 guests is a real budget decision. Your total also moves with quantity, delivery distance, whether you add setup, and whether you add cushions to chairs that do not include them. We do not publish per chair rates here, because pricing changes and a stale number is worse than none. Request a quote with your guest count and date for current figures.

How many chairs do I need for a wedding reception?

One per confirmed guest, plus seating for vendors who will be there for hours, plus a small buffer for late additions. If your ceremony and reception are in different spots on the same property and nobody is moving chairs between them, count both seatings separately. Chair style also affects how many fit per table, since seat widths in our inventory range from 13 to 20 inches.

Can rental chairs be left outside in the rain?

No. None of our chairs are waterproof, and you are responsible for protecting them from rain to avoid water damage fees. Poly and resin chairs are rated for indoor and outdoor use and tolerate an unexpected shower better than the rest. Fruitwood and farmhouse crossback chairs must remain dry at all times and cannot be left out in rain at all. Chiavari chairs used outdoors need to be under a tent, pavilion, or other cover.

The Short Answer: How to Choose Rental Chairs in Thirty Seconds

For the best combination of durability, comfort, and value, rent the white resin chair. Highest weight rating we stock, padded seat included, and a fraction of what a Chiavari costs.

If the event is casual and the guest count high, the poly chair stacks twice as compactly and does the job for less. If the photographs are the point and the chairs will be under cover, the Chiavari and crossback earn their premium, provided you have budgeted for cushions and know they cannot be rained on.

Still unsure? Tell us your guest count, your surface, and whether you will be under a tent, and we will tell you which chair we would put on your own event. Request a quote, or browse every style on our chair rental page.
